THE OPPORTUNITY

For more than two decades, middle school students in Boston, and across the United States, have been participating in hands-on learning opportunities that inspire curiosity, foster social-emotional learning, and better position learners to discover and achieve their dreams in college and beyond. We’ve impacted the lives of thousands of students because of the creativity, dedication, and commitment of our staff and AmeriCorps Service Members. Together, we work hand-in-hand with the communities we serve to imagine and design solutions that build on existing successes and cultivate new wins. It is in this spirit that we continue to explore new avenues to serve students and families and are adding a Finance & Operations Coordinator, a position focused on supporting operations, including public contract administration, office coordination, organizing documentation and supporting organizational compliance at the federal and state levels.

As Finance & Operations Coordinator, you will serve as a member of the operations team reporting to the Finance Manager, a member of the National Team based in Boston, MA. You will be responsible for supporting operational excellence, focused on compliance, documentation, and creating internal and external clarity.

KEY RESPONSIBILITIES

Public Contract Administration (50%)

  • Working with the National and Regional teams to ensure compliance with all public grants. These include a National CNCS/AmeriCorps grant to host service corps members, a National CNCS Vista hosting program, a New York State DYCD contract, as well as contracts in Massachusetts, California, and others;
  • Manage proper documentation and (digital and hard-copy) storage of all public grant contracts;
  • Work with External Engagement (EE), Finance, and Regional teams to complete invoicing and reporting for all public grants;
  • Track invoicing and payments from public funders and project total funds to be collected within each fiscal year;
  • Work with Talent, HR, Service and Regional teams to ensure compliance with public grant requirements;
  • Support the completion of audits of any public grants;
  • Track and project timing of cash payments from public funders; and
  • Manage relationships with the administrative representatives from granting agencies.

Operations Coordination and Administration (40%)

  • Support the management and documentation of office leases, subleases, and space-sharing agreements
  • Coordinate meetings, agendas, minutes and planning sessions of the Operations team (includes Finance, HR, Payroll, and Technology);
  • Support compliance with Federal and State governing bodies related to tax/501 c (3) status, tax filings, solicitation licenses, etc.;
  • Support organization-wide document storage and organization (digital and hard-copy), including: creating and executing a plan for organizational files stored off-site through Iron Mountain, and proposing a file-digitization plan.

Office Management (10%)

  • Lead the office-sharing arrangement with ANet at One Beacon;
  • Manage office space, including supplies, snacks and employee needs at One Beacon;
  • Manage visitor access at One Beacon;
  • Support the development and adherence to office norms at One Beacon and for remote staff

QUALIFICATIONS & EXPERIENCE

  • 2+ years of experience in operational or administrative nonprofit roles
  • Demonstrated ability to develop, implement and manage systems and processes that support goal attainment
